Single Record Export


Overview

Beginning in version 4.2.0, Record Builder supports single record export from a local Pears or Newton database. Records for a Pears or Newton database are automatically stored in BER format. The export function allows Record Builder to export the record in its native format. For example, a MARC record stored in BER format in a Newton or Pears database can be converted back into MARC format and exported as a single record.

The cataloger must first locate the record to be exported through search or browse. Once located, the cataloger can export the record from the brief or full record display. NOTE: the menu options of "Export Record" and "Open Record" are identical in function. Both return a search screen to the cataloger to enter criteria for locating a record. The cataloger may also locate a record through the Browse option.

In the brief record display, the cataloger can export by clicking the export icon.

In the full record display, the cataloger can export from the pull down menu at the top right part of the interface.

In either case, the cataloger has the option of exporting the record to the export/import directory automatically or using "Export As . . ." to save the record to local disk through the browser.

Record export is a fail/safe operation and does not expose the database.

Configuration

A local database must have an [Export] section in its rb configuration file in order to support the export function. One parameter required for this section is recordsyntax. Acceptable values for this parameter, out-of-the-box, include MARC, SGML, DELIMITED or BER. The value entered for this parameter determines the Record Handler that will be used to convert the exported record into its native format. This is a required field.

For Pears databases only, the [Export] section also should have a second parameter, dbdesc. Enter the location of the Pears desc file. This parameter can be left blank for Newton databases, as shown in the configuration files for the sample databases included in SS420.

Additionally, a separate Record Handler section is required in the rb configuration for Newton databases in SGML or delimited text format only. The Record Handler section will be either [HandleSGML] or [HandleDelimited], respectively, and will have a single parameter: tags. Enter the location of the dtd file for the database. This section is not required for Newton databases in MARC or BER format.

Finally, the Record Builder administrator must set a default import directory for import files. This directory is a global property for all local databases and is not configurable at the database level. The location is set in the JaSSIServer_rb.ini file under the [ExpImportLocation] section. The default setting for this parameter is <WebZ_root>/dbbuilder. This directory also serves to store records imported from a local database.

Records exported with the Export function are assigned a filename automatically following this format:

dbname_autho_timestamp.recordsyntax

dc_RBCataloger_20011031_T144515.SGML

Catalogers may name exported files only through the Export As . . . option.


Procedure

Follow these steps to export a record from a local database.

1. Search for record by selecting the "Export Record", "Open Record" or "Browse Record" options from the options menu.

2. After locating a record, the cataloger may choose export from the brief record or the full record display.

3a. In brief record view, the cataloger may click the export icon.

Record Builder returns three options: Export, Export As . . . and Cancel

The Export option automatically exports the record to the export directory.

Export As . . . allows the cataloger to save the exported record to a local disk, or any location accessible by the cataloger

3b. In full record view, the cataloger has the same export options available to her as in 3a (above) from the pull down menu.

4. Following export, the cataloger can return to the original result set by clicking the results button on the left side of the interface, or choose Export Record to locate another record.
